Meeting Planner — FAQ

How does the meeting planner find the best time?

+

The planner displays a 24-hour grid showing what time it is in each selected location for any given moment. Working hours (typically 9 AM–6 PM) are highlighted in each timezone column. The overlap region where all locations are within working hours is the recommended meeting window. You can scroll through the day to explore all possible times.

What is considered a reasonable working hours overlap?

+

A practical meeting window typically requires at least a 2-hour overlap during standard business hours (9 AM–6 PM) in all participant timezones. For teams spanning more than 10 time zones (e.g., US East Coast and Southeast Asia), any overlap at all may require one group to meet early morning or late evening.

How do I schedule a meeting across many timezones without confusion?

+

Always share meeting times in UTC or the host's timezone, and include the local equivalent for each participant. Calendar apps like Google Calendar and Outlook automatically convert meeting times for each attendee based on their device timezone settings. Using the meeting planner to find a mutually convenient window avoids the common mistake of miscalculating timezone differences manually.

Does the planner account for daylight saving time?

+

Yes. The planner uses the IANA timezone database through the browser's Intl API, which correctly applies DST rules for each timezone. This means if you are planning a recurring weekly meeting, the UTC time may change by one hour seasonally when participants' timezones transition in and out of DST — and not always on the same date.

What is the International Date Line and how does it affect scheduling?

+

The International Date Line runs roughly along the 180° meridian in the Pacific Ocean. Crossing it changes the calendar date by one day. This means meetings between, say, New Zealand (UTC+13) and the US West Coast (UTC-8) can span two calendar days — your Monday afternoon in New Zealand may be Sunday morning in California. The meeting planner handles this correctly by converting all times to UTC internally.
